Users must be explicitly granted access to each ward they need to manage. There are two separate levels of access control in Rio, both must be configured for a user to be able to view and manage patients on a ward.
Access control levels
Access level | Where configured | Description |
Ward Access | Inpatient Ward Set up → Ward → Selected Users list | Controls which users can see and manage the ward in the Bed Layout View and Ward List screens. Must be granted per ward, per user. |
RBAC Role Access | User Administration → Roles tab | Controls which IMS functions the user can perform (admit, discharge, transfer, etc.) based on their national RBAC role. |
⚠️Important: A user must have both the correct RBAC role and ward access to manage patients on a ward. Granting one without the other is not sufficient.
Grant a user access to a ward
Navigate to Inpatient Ward Set up from the Admin menu.
Click Setup Ward or Bay or Beds, then click Ward.
Select the ward you want to manage, then click Go.
In the Add Ward Access section, move the required users to the Selected Users list using the arrows.
Click Save Changes.
The selected users now have ward access and can view and manage the ward in the Bed Layout View and Ward List screens.
