Once a ward has been created, you can add bays and beds to it. Bays and beds must be configured before patients can be admitted to the ward.
Configure a bay
Navigate to Inpatient Ward Set up → Setup Ward or Bay or Beds → Bay.
Select the ward in which you want to add a bay, then click Go.
Select an existing bay to edit, or click New Bay to create a new bay.
Enter the Bay Description if required (e.g. Bay A, Side Rooms, High Dependency).
Check Virtual Bay if this bay is to be used for temporary or flex beds.
Click Save Changes.
The bay is saved and available for bed configuration.
Configure beds
Navigate to Inpatient Ward Set-up → Setup Ward or Bay or Beds → Beds.
Select the ward, then click Go. Select the bay, then click Go.
Select a Bed Type from the pick list.
Check Virtual Bed if this is a flex or temporary bed.
Check Deleted if you need to hide the bed in the system until virtual beds are created.
Enter the Number of Beds to add to this bay.
Click Add Bed.
The specified number of beds are created in the selected bay and are now available for patient admission.
⚠️Important: Deleted beds are hidden in the system until the Deleted checkbox is unchecked. Remember to uncheck this when the bed is ready for use.
Configure temporary (flex) beds
Temporary (flex) beds allow wards to add additional bed capacity on a short term basis without permanently changing the ward configuration. They are added and removed by users as needed.
First, create a Virtual Bay on the ward, check the Virtual Bay checkbox when configuring the bay. This is the container for all flex beds on the ward.
Once the Virtual Bay is saved, users can add temporary beds using the Add Flex Bed option within the ward view.
Temporary beds can be removed by users when no longer required, no admin intervention is needed to remove them.
📌Note: The temporary bed button can be renamed to a local preference (e.g. Flex Bed, Escalation Bed, Surge Bed). This is configured in the APFM Admin settings.
