Configure a ward

Steps to create or edit a ward in Rio's Inpatient Management System, including setting the ward code, operational plan, and user access.

You can create a new ward or edit an existing one from the Inpatient Ward Set up screen. Once a ward is saved, its Ward Code cannot be changed, so take care when entering this value.

⚠️Important: The Ward Code is a permanent identifier, it cannot be changed after saving. Double check this value before saving a new ward.


Create or edit a ward

  1. Navigate to Inpatient Ward Set up from the Admin menu.

  2. Click Setup Ward or Bay or Beds, then click Ward.

  3. Select an existing ward to edit, or click New to create a new ward.

  4. Click Go. The Ward Configuration screen is displayed.

  5. Complete the following fields:

    • Ward Code. Unique identifier (maximum 10 characters). Cannot be changed after saving.

    • Ward Description. The name displayed to users (e.g. Maple Ward, Birch Ward).

    • Ward Operational Plan. Links the ward to its operational configuration.

    • Hospital Site. The physical site where the ward is located.

    • Security Level. Controls which users can access this ward's records.

    • Virtual Ward. Check this box if the ward is a virtual ward. This does not affect functioning but may affect statutory reports.

  6. In the Add Ward Access section, move the required users to the Selected Users list using the arrows. Only users in the Selected Users list can view and manage this ward.

  7. Click Save Changes.

The ward is saved and available for bay and bed configuration.

⚠️Important: Ward access is separate from RBAC role access. A user must have both the correct RBAC role AND ward access to manage patients on a ward.
