Use auto save in Assessment Forms

How auto save works in Rio Assessment Forms, what requirements apply, and how to recover an auto saved form.

Rio can automatically save Assessment Forms if your session ends unexpectedly. For example, due to a timeout or accidental logout. When this happens, your work is preserved and you will be prompted to return to it on your next login.

📌Note: Auto save for Assessment Forms is not available on all form types. It is only supported on Type 4 and Type 6 forms. Contact your System Administrator if you are unsure of your form type.


Requirements for auto save

Auto save on Assessment Forms only applies when all of the following conditions are met:

  • Form type: The form must be a Type 4 or Type 6 form. Auto save is not available on other form types.

  • Validation enabled: Validation must be enabled on the form by your System Administrator.

  • Date/Time of completion: The Date/Time of completion of assessment must be entered before auto save will fire. Always complete this field first when opening an assessment form.

Auto save fires automatically when a session times out due to inactivity, or when you log out without saving the form.

⚠️Important: If the Date/Time of completion has not been entered before your session ends, auto save will not fire and your data may be lost. Always enter this field as your first step when opening an assessment form.


Auto saved form status labels

When an assessment form has been auto saved, it appears in the assessment index screen with a status label. The labels and their meanings are:

  • Auto saved: The form was automatically saved due to a session timeout or logout. It has not been formally saved or validated. Open the form, review it, complete it, and formally save and validate it.

  • Unvalidated: The form has been saved but not yet validated by the originator. Review and validate when ready.

  • Validated: The form has been formally saved and validated. No further action is needed.


To Do List notification on next login

When an assessment form has been auto saved, Rio will alert you the next time you log in. A To Do List item or notification will appear, prompting you to return to the auto saved form and complete it. This ensures no auto saved work is overlooked.


Recover an auto saved Assessment Form

Follow these steps to find and complete an auto-saved Assessment Form after a session timeout or logout.

  1. Log back in to Rio. On your next login after a session timeout or logout, Rio will display a To Do List item or notification alerting you to the auto saved form.
    Result: To Do List / notification displayed on login.

  2. Click the notification to go directly to the form, or navigate to the client's assessment index screen where the form will be listed with the Auto saved status label.

  3. Click the auto saved form to open it. All data entered before the session ended will be present.
    Result: The form opens with previously entered data intact.

  4. Review and complete the form: Check all fields, complete any remaining sections, and ensure the Date/Time of completion field is accurate.

  5. Click Save and validate the form. The Auto saved status will be replaced with Validated once complete.
    Result: The form is formally saved and validated in the client's record.

🤓Tip: If no To Do List notification appeared after an auto saved session, navigate directly to the client's assessment index screen and look for forms with the Auto saved status label. Contact your System Administrator if To Do List notifications are not appearing for you.
