Rio automatically saves your Progress Notes as you work, protecting your clinical notes from loss due to session timeouts, accidental logouts, or browser interruptions. Auto save is a safety net, it does not replace the need to formally save and validate your work.
đNote: Auto save is available for all Progress Notes. It does not replace formal saving and validation, always save and validate your note when you have finished.
How auto save works
Auto save in Progress Notes is triggered by two separate mechanisms.
Repeating timer
While your note is open and being edited, Rio automatically saves it at a regular interval:
The default interval is every 2 minutes.
The interval is configured by your Trust's System Administrator.
The timer runs continuously while the note is open.
Session events
Auto save also fires immediately if either of the following occur:
Your session times out due to inactivity.
You log out without saving the note.
Both events trigger an immediate auto save, protecting notes that would otherwise be lost entirely.
Before auto save can fire
Auto save will not occur unless the following conditions are met:
All mandatory fields must be completed first. For example, the Note Type field must be filled in before the note text area becomes available. This is by design: Rio enforces mandatory fields before you can enter any note text.
Auto save only applies to unvalidated notes.
If you are updating an existing note, auto save will only fire if at least one field value has been changed.
â ď¸Important: If you have not completed all mandatory fields, auto save will not fire and your note text will not be saved automatically. Always complete mandatory fields before entering your note.
How to identify an auto saved note
Once a note has been auto-saved, Rio displays clear visual indicators:
Last Auto Saved date/time. Displayed beneath the Progress Note text field, showing the timestamp of the most recent auto save.
Auto saved style. Notes appear in a distinct style in the Progress Notes list screen. The key at the bottom of the screen shows the appearance of auto saved, unvalidated, validated, filtered, and notes entered in error.
Progress Note view screen. The auto saved note is visible in read only view with its auto-saved status indicated.
đNote: Your System Administrator can configure the foreground and background colours for each note style, so the exact appearance may vary at your Trust.
Enter a Progress Note with auto save active
Follow these steps to enter a Progress Note. Auto save will protect your work throughout.
Access the client's Clinical Portal, go to the client/patient record and open the Clinical Portal.
Click Progress Notes on the right hand side of the Clinical Portal screen.
Result: The Progress Notes screen is displayed.Click Add New Note.
Result: The Progress Notes Add New Note screen is displayed. The Originator field is populated with your name by default.Complete all mandatory fields. For example, the Note Type field before attempting to type in the note text area. The note text area will not be available until mandatory fields are completed. This is required for auto save to function.
Result: The note text area becomes available for input.Enter your note text. Auto save will begin firing automatically every 2 minutes (or at your Trust's configured interval). The last auto saved timestamp will appear beneath the note field.
When finished, save and validate the note as normal. Auto save is a safety net it does not replace formal saving and validation.
Result: The note is saved, validated, and appears in the Progress Notes list.
Known limitation: Windows XP and smart card removal
If you are using Windows XP and have Rio open in the window that the Identity Agent launches, auto save will not work when your smart card is removed.
