Save and view a consultation record

How to save the Consultation Screen, view a saved record, and understand auto save behaviour.

When you have completed the tabs you need on the Consultation Screen, a single save action records the appointment outcome and progress note together. Assessment forms are saved independently within their own pop up windows as you go.


Save the Consultation Screen

  1. Ensure you have completed all required fields on the Outcome Information tab: Actual Time, Actual Duration, Consultation Medium, and Outcome.

  2. If you have entered a progress note, ensure the Note Type is selected and the note text is entered.

  3. Click Save at the bottom of the Consultation Screen.
    Result: The appointment outcome is saved. If a progress note was entered, it is saved simultaneously and linked to the appointment. Any assessment forms were already saved when you saved them in the pop up window.

  4. If a save confirmation message has been configured by your organisation, click Yes to confirm and return to the progress notes list, or No to confirm and remain on the edit screen.

📌Note: Assessment forms are saved individually within their pop up windows, they are not saved when you click Save on the Consultation Screen. Always save each assessment form before closing its pop up.



View a saved consultation record

After saving, you can view the consultation record from two locations:

  • From the appointment or outcome screen. Open the appointment from the diary or clinic. The saved outcome screen displays the outcome details, along with a link to the associated progress note.

  • From the Progress Notes screen. Navigate to the client's Progress Notes screen. The progress note recorded via the Consultation Screen appears in the list alongside all other progress notes.


Auto save behaviour

Auto save applies to the progress note only, not to the appointment outcome fields. The table below summarises when auto-save does and does not apply:

⚠️Important: If your session times out while on the Consultation Screen, the progress note text is auto saved but the appointment outcome fields are not. You will need to re-enter the outcome information when you next open the appointment. Always save the Consultation Screen before stepping away from your workstation.


What happens when you reverse an outcome

If you reverse an appointment outcome that was recorded via the Consultation Screen, the following happens:

  • The link between the progress note and the appointment outcome is removed.

  • The link to the progress note on the saved outcome screen is removed.

  • The appointment outcome record itself is reversed.

However, the progress note itself is not removed from the client's record, it remains visible on the Progress Notes screen. Assessment forms recorded on the Assessments tab are not affected.

⚠️Important: If you reverse an outcome and the associated progress note is no longer clinically accurate, you must separately mark the progress note as entered in error via the Clinical Record Management screen. This requires the appropriate access level.
