Manage Client Pathways

How to assign, view, modify, close, and transfer client pathways in ePathways within Access Rio EPR.

Written by Connor Baeza

This article covers the key tasks for managing client pathways in ePathways within Access Rio EPR.

View a client's pathways

You can review all pathways currently assigned to a client, including progress through each phase and action.

To view a client's pathways

  1. Search for and open the client record.

  2. Open Pathways.

  3. Review the list of assigned pathways.

  4. Select a pathway to view additional details.

For each pathway, you can view:

  • Pathway name

  • Current phase

  • Pathway status

  • Action completion progress

  • Phase progress information

Assign a client to a pathway

When a client requires a pathway, you can assign them to an available pathway template. The client receives their own copy of that pathway.

To assign a pathway

  1. Open the client record.

  2. Open Pathways.

  3. Select Add Pathway.

  4. Choose the required pathway template.

  5. Complete the required fields:

    • Start Date

    • Owner (if applicable)

    • Comment (optional)

  6. Select Save.

⚠️Important: Each client receives their own version of the pathway.

This means:

  • Changes made to a client pathway do not affect the template.

  • Changes made to a template do not update existing client pathways.

  • Clients receive the version of the pathway that was active when it was assigned.

Modify a client's pathway

Because each client has their own pathway copy, certain changes can be made without impacting other clients or the original template.

Depending on your permissions, you can:

  • Add pathway comments.

  • Add or remove actions.

  • Update expected phase durations.

  • Manually start or end phases.

  • Record variances.

📌Note: All pathway changes are recorded within the Rio Audit Trail.

Close a pathway

When a pathway is complete or no longer required, it should be formally closed.

To close a pathway

  1. Open the pathway.

  2. Select Close Pathway.

  3. Choose a Closure Reason.

  4. Add comments if required.

  5. Select Save.

Automatic closure following death

If a client's death is recorded within Rio, active pathways automatically move to a death status. No manual action is required.

Transfer a pathway

If a client transfers between services or teams, a pathway can be transferred rather than simply closed.

To transfer a pathway

  1. Open the pathway.

  2. Select Close Pathway.

  3. Choose a closure reason configured for transfers.

  4. Save the closure.

  5. Assign the client to the new pathway where appropriate.

This maintains pathway history and creates a link between the original and new pathways.
