This article explains how to generate an editable letter in Rio using the Microsoft 365 method. The letter opens in Word Online in a separate browser tab, no Rio Drop Zone installation is required.
đNote: The Microsoft 365 method requires Rio version 22.12 or above, a Microsoft 365 licence, and your organisation to be hosted by Access Group. Contact your system administrator if you are unsure whether this method is available to you.
Generate and edit the letter
Access the Editable Letters functionality from the menu, or select Editable Letter from the Documents section of the Clinical Portal.
The Editable Letters (Search) screen is displayed.Search for and select the patient in the usual way.
The Create Letter screen is displayed.Select the required letter from the pick list and click Create. If additional fields are required (for inpatient or referral events), complete them and click Create.
A Document Created screen appears and the letter template opens in a separate browser tab in Word Online.Complete all required edits in the Word Online tab.
Print any copies you need from within Word Online.
Save and close the document.
The document closes and a document save pop up appears on the Rio tab.Complete the document save pop up on the Rio tab and confirm.
The letter is saved to the patient's document list in Rio.
Send the letter to the patient's GP
â ď¸Important: The Send to GP option is not available during the upload process when using the Microsoft 365 method. You must send to GP after the letter has been saved, using the steps below.
Go to the patient's Document List View in Rio.
Locate the letter you have just saved.
Ensure the document is marked as Final Version.
Click the Send to GP hyperlink to send the document to the patient's GP.
đNote: Send to GP is only available if the patient has an NHS Number and the document type is configured to allow it. Contact your system administrator if the option is not visible.
