When a referral is accepted in Rio, there are two ways a patient can be added to a waiting list: automatically or manually. The method used depends on how your waiting list is configured and the nature of your service.
Automatic addition (Auto Accept)
When a waiting list is set to automatic, a patient is added to the waiting list as soon as their referral is accepted, without any user intervention required.
This method is recommended for high volume services where all accepted referrals should go straight onto the waiting list, such as:
Community mental health teams (CMHT).
IAPT / Talking Therapies services.
Outpatient clinics.
đ¤Tip: Using automatic addition for most services helps ensure no referrals are missed from the waiting list.
Manual addition
When a waiting list is set to manual, a member of staff must explicitly add the patient to the waiting list after the referral has been accepted. The patient will not appear on the waiting list until this action is taken.
Manual addition is appropriate for services where a clinical triage step is required before a patient is placed on a waiting list, such as:
Specialist services with complex eligibility criteria.
Elective inpatient admissions requiring clinical review before listing.
â ď¸Important: If a waiting list is set to manual and a member of staff does not add the patient, the patient will not appear on the waiting list at all. Ensure clear processes are in place for services using manual addition.
Which method should I use?
Use the table below as a guide:
Method | When to use |
Automatic (Auto Accept) | High volume services where all accepted referrals should go onto the waiting list e.g. community mental health, IAPT, outpatient clinics. |
Manual | Services where clinical triage determines whether a patient goes on a waiting list e.g. specialist services, elective inpatient admissions. |
