Your To Do List in Rio is where you receive workflow notifications, alerts that let you know when a clinical action is required, such as reviewing a new referral, recording an appointment outcome, or responding to an urgent care attendance.
Rio sorts notifications by priority so the most time critical items always appear at the top of your list.
📌Note: The exact location of the To Do List in your Rio menu may vary depending on your organisation's configuration. If you cannot find it, contact your system administrator or add it to your frequently used menu items for quick access.
Access your To Do List
Open Rio and go to the To Do List from the Rio main menu.
The To Do List displays all your active notifications, sorted by priority (highest priority first) and then by date issued (most recent first). Unread notifications are visually distinguished from ones you have already opened.
Read and act on a notification
Open the To Do List from the Rio menu.
Read the summary text of each notification to understand what action is required.
Click the notification link to navigate directly to the relevant Rio screen. For example, the referral details page, the appointment outcome screen, or the urgent care tracking list.

The notification is automatically marked as read.
Finish the required clinical action. For example, read and allocate the referral, record the appointment outcome, or read the urgent care attendance.
Go back to the To Do List and select dismiss the notification once the action is complete.
Manage your notifications
There are three ways to manage a notification once you have reviewed it:
Mark as read: Use this when you have reviewed the notification but have not yet completed the required action. The notification remains in your To Do List but is visually marked as read.
Delete or Dismiss: Use this when the required action has been completed and the notification is no longer needed. The notification is removed from your active To Do List.
Redirect: Use this when the action required is the responsibility of another team member. The notification is forwarded to them.
⚠️Important: Do not select dismiss a notification until the required clinical action has been completed. Dismissed notifications are retained for audit purposes. They are not permanently deleted.
Pop up notifications
Some notifications appear as pop up dialog boxes on your screen. These are used for urgent, time critical events such as urgent care attendances.
When a pop up appears, you can:
Click through to the linked Rio screen. This marks the notification as read and takes you directly to the relevant record.
Dismiss the popup, this marks the notification as read and closes the dialog.
📌Note: If you are not logged in when a pop up is scheduled to appear, it will display on your next login.
Understanding notification priorities
Notifications in your To Do List are assigned a priority level. Lower numbered priorities appear at the top of your list so you can triage quickly.
Priority | Level | When to act | Examples |
1 - High | Urgent / Safety critical | Same session or same day | Urgent care attendance, urgent referral received, safeguarding alert. |
2 - Medium | Important / Time sensitive | Within 24-48 hours | New referral to team, appointment outcome overdue, care plan review due. |
3 - Routine | Routine / Informational | No immediate action required | Referral accepted, appointment booked, assessment form completed. |
🤓Tip: Always work through Priority 1 notifications first. These represent events where a patient may currently be waiting for an immediate clinical response.
