View, modify and print documents in Rio

Once a document has been uploaded to a patient record, you can view it, update its details, add a new version, or print it directly from Rio.

View a document

  1. Open the patient record in Rio.

  2. Open the Documents screen.

  3. Locate the document in the list.

  4. Click the document title to open it.

The document opens in a preview window. Use the scroll bar or page controls to move through the document.

📌 Note: Rio stores documents as uploaded. You cannot edit the content of a document within Rio. To make changes, edit a local copy and upload it as a new version.


View previous versions

If a document has multiple versions (for example, earlier drafts), you can view them all.

  1. Open the document from the Documents screen.

  2. Click Add next to the current version.

  3. A list of all previous versions is displayed.

  4. Click any version to open it.


Update document details

You can update the title, type, date, or version status of a document without re-uploading it.

  1. Open the document from the Documents screen.

  2. Click Edit details.

  3. Update the relevant fields.

  4. Click Save Document Details.

  5. Confirm the change when prompted.

⚠️ Important: Changing the version from Draft to Final makes the document available to link to clinical events. This action cannot be reversed without administrator access.


Upload a new version

If a document needs to be updated, upload a revised copy as a new version rather than replacing the existing one. Rio keeps a full version history.

  1. Open the document from the Documents screen.

  2. Click Add new version.

  3. Click Browse and select the updated file from your computer.

  4. Update the document details if needed.

  5. Click Save Document Details.

The new version appears at the top of the version list. Previous versions remain accessible.


Print a document

  1. Open the document from the Documents screen.

  2. Click Print.

  3. Select your printer and confirm the print settings.

  4. Click Print.

📌 Note: You can only print documents you have permission to view. If the print option is not available, contact your system administrator.
