Does adding a client to the Team Monthly Planner create an appointment?

No. The Team Monthly Planner is used for planning and managing workload. Appointments are only created when a client is allocated through the Team Daily Planner.

What is a rolled over client?

A rolled over client is a client who was added to a previous month's plan but was not allocated or seen during that month. These clients should be reviewed and prioritised to ensure they receive the required care.

Can I assign an HCP when creating a monthly plan?

Yes. You can assign a Healthcare Professional (HCP) to a client within the Team Monthly Planner to support forward planning and workload management.

Does allocating a client in the Team Daily Planner create an appointment?

Yes. When a client is allocated to an HCP in the Team Daily Planner, Rio automatically creates an appointment in that clinician's diary through AMS (Appointment Management System).

Can I change the appointment duration?

Yes. You can amend the intended duration when allocating the appointment. The actual duration is recorded later when the appointment outcome is completed.

Where should appointment outcomes be recorded?

Appointment outcomes should be recorded within the HCP Diary (AMS) after the appointment has taken place, not within the Team Planner.

Can multiple clinicians be assigned to the same appointment?

Yes. Additional HCPs can be added to an appointment, allowing joint visits, multi disciplinary discussions, or appointments involving multiple clinicians.

Can I add a clinician from another team to an appointment?

Yes, but clinicians from different teams do not automatically have access to each other's diaries. Your System Administrator may need to grant diary access before a cross team HCP can be added to an appointment.

How are appointment times assigned if I do not enter a time?

Rio uses the team's configured AM and PM settings:

  • AM appointments are scheduled from the team's configured morning start time, working forwards.

  • PM appointments are scheduled from the team's configured afternoon end time, working backwards.

Can I add comments to the planners?

Yes.

  • The Team Monthly Planner allows you to record month level comments, such as staffing pressures, annual leave, or service capacity notes.

  • The Team Daily Planner allows you to record day level comments for operational updates, such as sickness, absence, or service disruptions.

Can I cancel an appointment from the Team Daily Planner?

Yes. Appointments can be cancelled directly within the Team Daily Planner, and the cancellation is reflected in AMS.

How do appointments appear in an HCP diary?

Appointments allocated through the Team Daily Planner appear as standard community appointments within the clinician's diary and can be managed in the same way as any other diary appointment.

Why can't I access the Team Monthly Planner or Team Daily Planner?

Access to the Team Planner functionality is controlled by user permissions and team configuration. If you cannot access the planners, contact your System Administrator to verify that the appropriate access has been assigned to your account.

What is the difference between the Team Monthly Planner and the Team Daily Planner?

The Team Monthly Planner is used for forward planning and identifying which clients require appointments during a particular month, while the Team Daily Planner is used to allocate those clients to individual clinicians and create appointments in HCP diaries.
