Generate a Subject Access Request (SAR)

Learn how to create and manage Subject Access Requests (SARs), including applying date filters and selecting specific data sections for inclusion.

Overview

A Subject Access Request (SAR) allows a patient or authorised representative to request a copy of the personal information held about them within Access Rio EPR. The SAR module compiles data from across the patient record into a single report that can be produced in Word or PDF format.


Before you begin

Your security profile must include access to the Subject Access Request (SAR) module. Contact your System Administrator if you cannot open the SAR form.


Create a new SAR

  1. Open the Subject Access Request (SAR) form.

  2. Search for and select the required client.

  3. Select the SAR form from the available options.

  4. If a previous SAR exists, select Create New.

  5. Complete the required SAR date fields.

  6. Select Save.

The SAR request will be submitted and processed automatically.


Limit a SAR to a specific date range

You can restrict certain data types, such as assessments, progress notes, and audit information, to a specified period.

To apply a date filter

  1. Enter a value in Date From Range.

  2. Enter a value in Date To Range.

  3. Ensure the start date is earlier than the end date.

  4. Select Save.

📌Note: If the date fields are left blank, all available data will be returned.


Include specific data sections

If your organisation has configured custom plugin selection, you can choose which sections are included in the SAR.

To select specific data sections

  1. Click Use Custom Plugins.

  2. Select the data areas you want included.

  3. Select Save.

If Custom Plugins is not selected, all available data sections are included automatically.


Create a new SAR from a previous request

  1. Open the client's SAR history.

  2. Select a previous SAR version.

  3. Select Edit Current.

  4. Update the required fields.

  5. Select Save.

Saving the form creates a new SAR request and does not overwrite previously generated reports.
